Last year I wrote a series of posts on my “business system for 2017”. I have come to realize that I was doing it all wrong. Here’s the gist of where my mindset was at around this time last year.
Three days ago, I came across a blog post that gave me an “aha moment”. Thanks to Brittany and her post, I know that what I really was doing was pairing down the tech tools that I was using. I was missing the first step, which is creating an actual system. This is such an important realization because I’m still running my business solo but what I do now will dictate how smoothly I can incorporate outside help in the future.
So while I am trying to get myself together for 2018, I decided to take on yet another task of actually creating my “systems” that I am going to follow into the New Year. I also plan on doing quarterly reviews to see what’s working and what’s not.
So how have I decided to structure my business life for 2018 (and beyond)?
First up, I decided that I am going to solely focus on four things (for lack of a better word) – my blog (Shetalksbiz.com), my email list, YouTube, and Instagram. This all is all inspired by a video from Roberto Blake. I recently caught him live for the first time (he was doing a live stream on Youtube) in which he was giving a very motivating talk on how there’s no reason why you can’t start something in 2018.
I couldn’t stay for the entire time but did watch the replay and then afterwards I re-watched another video of his on personal branding. In that video (around the 6:04 mark) Roberto suggests that you have a website, an email list, YouTube channel and one more social media network (like Instagram, Facebook, or Twitter). He also suggests that you use your blog and Youtube together as a one-two combo.
So this will be my starting point, I currently have all except an email list (which I am actively working on). I will not be shutting down my other social media accounts, just won’t be as active on them moving forward. I believe this is a good plan because lately I’ve been getting more engagement on Instagram then Twitter, yet I’ve been more active on Twitter.
So what next?
Following the example from Brittany’s post I’ve crafted a system for my Instagram Account because it can be (and I’ve already done so) put on semi-autopilot. I say semi-autopilot because the way Instagram is setup, they do not allow any third-party app to automatically publish anything to your page. Instead you can use them to schedule posts in advance but you will get a notification when its time to publish and then you post everything yourself. So without further ado, here’s my first system:

Me (for now)
- Create and publish content to IG
- Actively engage with others on IG
- On Saturdays – design images/graphics and write captions
- On Sundays – scheduled posts for the upcoming week
- At least 3 times a week – like and comment on other people posts as well as reply to any comments on my own posts
To make sure there’s always something of value to share with my audience because I plan on using IG to grow my email list and business
- Brainstorm 5-10 topics that I want to share on my IG acct // Assigned to myself
- Using my already made template in Photoshop, create new graphics with images and text that will follow the current layout scheme (or pattern) // Assigned to myself
- Write up captions in Evernote for each image/graphic created // Assigned to myself
- Proofread both images and captions // Assigned to myself
- Schedule all posts via Later // Assigned to myself
- Published each posts to IG // Assigned to myself
You know, you never realize how much goes into doing something until you sit down and write it out but at least now it done. Plus I can always tweak it when need be and it will be ready to hand off to someone else whenever I hire a team member. Doing this work got me thinking that I may need to add a Project management tool back to my line-up.
Or do I? I use a paper planner but it also great to get a notification when I need to handle something. I will keep you guys posted once I have written out the rest of my systems for the blog, email list and YouTube.
